Smart Notes AI — Android Privacy Policy

1. About this policy and app versions
This policy describes Smart Notes AI for Android, including Android versions 2.0.0 and 2.0.1. Data handling depends on the version you use.
Sections 2–8 describe Android 2.0.1. Section 9 describes the earlier Android 2.0.0 implementation, including its online voice-transcription design and the limits of the historical records available. The contact details in Section 10 apply to privacy questions about either version.
Android 2.0.1 processes notes, bills, reminders and voice transcription on your device. Optional online place search, calendar integration, sharing and device backup can involve other services, as described below.

2. Information kept on your device — Android 2.0.1
The app stores the notes and text you enter, saved note-tool results, tags, note organization details, bill details and payment status, reminder schedules, language and appearance settings, and onboarding/help preferences in its local app storage. An optional profile name and selected profile photo personalize the app. This profile is not an online account and does not require registration.
Android 2.0.1 does not send your notes, bills, profile or recordings to a developer-operated server. It has no advertising or analytics service that automatically uploads your app activity, and it does not upload crash reports automatically. The optional transfers described below are separate from these local functions.
Development and designated test builds can keep limited troubleshooting records locally. Sharing a diagnostic report requires your action. Production builds disable diagnostic capture; existing local records and exported cache files may remain.
3. Voice and note tools — Android 2.0.1
Microphone access is used when you start a voice note. A speech-recognition model included with the app processes the recording on your phone. Audio is not sent to OpenAI, Replit or another transcription provider by this version's transcription feature. The app attempts to stop recording when it leaves the foreground, and captured audio may remain locally until you return for processing.
Recordings and converted audio are temporary app files. The app attempts to remove them after processing or cancellation, once they are no longer being read. An interruption or storage error can leave temporary files in the app cache. Text you insert into a note is retained with that note.
Summary, task, idea and plan tools use local text rules and templates. Your note content is not submitted to a cloud AI service or used by us to train a model through these tools.
4. Optional place search and location — Android 2.0.1
Typing in the place-search field sends the search text over HTTPS to the public Photon service operated by komoot at photon.komoot.io so it can return matching places. If you choose Use current location and grant location permission, the app obtains your current coordinates and sends them to Photon to find an address. That service also receives the network information needed for the request, such as your IP address. Its processing is governed by its own practices.
This feature is optional. If place search returns no results or fails, you can enter a location manually. Submitting that manual entry does not make another online lookup. The app does not continuously track your location or request background location access. A location you select can be included in a calendar event you choose to create.
5. Calendar and notifications — Android 2.0.1
With your permission, Add to Calendar reads the available calendars and writes an event to a writable calendar on your device. The event can contain its title, date and time, selected location, the related note title and alerts. Your calendar account may sync that event to its provider, such as Google, according to your calendar settings. Removing an app reminder does not delete the external calendar event; manage it in your calendar app.
Note and bill reminders are scheduled locally through Android notifications and, where needed, Alarms & reminders access. No remote push-notification account or token is needed. Notification text can show note or bill information on your lock screen; you control this in Android notification settings.
6. Photos and sharing — Android 2.0.1
A profile photo is optional. Selecting one opens Android's system photo-selection interface and grants access to the image you choose without broad photo-library access. Taking a profile photo requires camera permission, and older Android operating-system versions may also require storage permission for the camera result. The app does not upload this photo to us.
If you export a note as a PDF or choose to export a recovery copy, the app creates a local file and opens the system sharing screen. The app or recipient you select then receives that file and handles it under its own privacy practices. Exported files may remain in app cache or in the destination you choose. Sharing is started by you.
A recovery copy contains the app's stored notes data, which can include notes in Trash; it is not a backup of all app data.
7. Storage and device backup — Android 2.0.1
Local data uses Android's app storage protections. The app is not a password-protected or separately encrypted vault. Protect access to your device and review notification and backup settings.
Device backup and transfer may include app data depending on your Android version, device manufacturer and account settings. These are operating-system services, not a Smart Notes AI cloud-sync account. Data can be restored by those services when you reinstall or move to another device.
8. Retention and deletion — Android 2.0.1
Saved notes remain until you delete them. Deleted notes move to Trash, where you can restore or permanently delete them. Notes that have spent 30 days in Trash are removed from local storage when the app next loads them and can save the cleanup. If storage fails, the original stored data remains until a later app load or successful save completes the cleanup. This cleanup description applies to Android 2.0.1.
You can delete bills and manage reminders in the app. Clearing app storage or uninstalling removes local app data, but does not delete copies in backups, external calendars, shared files or recipients' apps. Manage those copies with the relevant service. Removing a profile photo from the profile does not delete the original image in your gallery.
9. Earlier Android version 2.0.0
Online voice transcription
Android 2.0.0 included an online transcription feature. When you finished a recording, the app was designed to upload the recorded audio and your selected transcription language, English or Arabic, to the Smart Notes AI API to convert speech into text. The server for this feature was configured to forward the audio through Replit AI Integrations to OpenAI's gpt-4o-mini-transcribe service and return the resulting text to the app. Text you chose to insert became part of your locally stored note.
The transcription request was designed to include the audio file and selected language, along with normal network information needed to deliver the request. It was not designed to upload your full note database, unrelated note text, bills, reminders or profile data.
Historical storage, logging and security
The server implementation handled uploads in application memory and was not configured to save recordings or transcripts to a server file or database. It was configured to log request information, including request IDs, request methods, API paths and response status codes, and could log transcription error messages.
Processing audio in application memory does not establish that hosting infrastructure or transcription providers retained no information. The historical records now available do not establish their exact retention periods or confirm deletion of previously transmitted information. They also do not establish which individual requests completed the configured processing path.
The client was configured to use an HTTPS app-server address when a server domain was supplied. The exact address embedded in the Play-distributed Android 2.0.0 app and the details of historical server-to-provider connections have not been verified from the records available.
The old client did not explicitly delete the local recording file after upload. Temporary audio could remain in the app's local storage or cache, with cleanup depending on app storage and operating-system behavior. There is no verified fixed deletion time for those files. The temporary-audio cleanup described for Android 2.0.1 should not be assumed to have occurred in Android 2.0.0.
Other earlier-version features
The Android 2.0.0 implementation stored notes and profile preferences locally and used local note-transformation tools. Its optional place search also sent search text or user-requested current coordinates over HTTPS to Photon, and its calendar integration could write event details, selected locations and related note titles into a calendar that could sync with its provider.
The older profile-photo flow requested photo-library permission before opening the image picker. The selected profile image was used locally. The narrower photo-permission description in Section 6 applies to Android 2.0.1.
Android 2.0.0 included Trash and local permanent-deletion controls. The durable 30-day cleanup described in Section 8 is specific to Android 2.0.1 and should not be relied upon as a guarantee of deletion by the older version. Deleting a local note did not send a deletion request to the transcription server or providers. App deletion controls do not remove copies held in external calendars, shared destinations or operating-system backups.
Moving to Android 2.0.1
The reviewed Android 2.0.1 update performs voice transcription on the device and does not use the online transcription path described above. Updating the app does not itself delete information previously received by an external service. You can avoid initiating the older online transcription flow by not using voice transcription in Android 2.0.0.
10. Contact and policy changes
For privacy questions or requests about information you have sent us, email supportelite7@gmail.com. If you contact us, we receive the information you choose to include and use it to respond. We cannot access, recover or remotely delete notes stored only on your device. Do not include note content or other sensitive information unless it is needed for your request.
We will update this policy when the app's data practices change. Check the last-updated date and the version information in this policy.
